Email Feature

UpdateCase features an Email sending function. This enables you to create a email and then send to all your contacts







# 1 > Email section

After you login you are able to click 'Emailers' (instead of websites)
- This takes you to the emailer system





# 2 > Overview

You are now on the overview screen

SEND section:
- Create: Allows to create a new email campaign to be sent
- View Campaigns: View campaigns that are already prepared and send to your contacts
- BCC list: Allows to use your Outlook email client to sent emails using your contact groups

CONTACT MANAGEMENT section:
- Users: View all your email addresses that are uploaded
- Groups: View the various groups you have, which are used to organize who you send emails to
- Import: Upload email addresses into groups you have setup

SETTINS section:
- Change: Allows to prepare the system and assign the IMAP mail server

AUTOMATION section:
- Outbox: Shows the campaigns / emails which are scheduled to be sent
- STOP ALL EMAILS: Allows to quickly cancel all emails that are in queue to be sent





# 3 > Create email campaign

This allows to create a new email which will be sent as a campaign

EMAIL FROM: which email to send from - this requires preparation from support to add a new account
EMAIL SUBJECT: What the contact will see in their subject line when they receive the campaign
INTERNAL NAME: Allows you to add a name which is easily understood internally for organization
ACTIVE: Indicates if the email is visible in the campaigns list
BODY: Add your email into this box, you are able to add links as well by clicking on the toolbar
SAVE: When you are done click save to save your changes

When you are done creating the email you can view and send this email from the 'view campaigns' link





# 4 > All Campaigns

This allows to see all your campaigns, send a specific campaign or edit a campaign

BINOCULARS: Allows to preview a email campaign to view the contents quickly
START: Start the process of sending your campaign to your email contacts which have already been uploaded to the system
SUBJECT: What users will see when they receive the email
STATUS: How many emails have been scheduled and send
LOG: See which emails have been sent this email
WHO VIEWED: See which emails have opened this email
LETTER ICON: Send this email using your email client on your computer (i.e. outlook / mac mail)
2 SQUARES ICON: Duplicate this campaign to a new one - allows to have a new version with different content and new stats
EDIT: Change the email campaign text, content, subject
DELETE: If you have NOT yet sent this email campaign you are able to delete it - after you send you can only 'de-activate' it in the edit screen





# 5 > SEND

To send a campaign:
- Click 'START' when you are viewing all the campaigns
- Select which groups should receive this campaign
- OPTIONAL: You are able to refine down the included users with "Custom Audience" on the right

NEXT: click 'choose sending options...'





# 6 > SEND - FINALIZE

- What time to send: You are able to choose a future time / date to begin sending (i.e. next morning at 7:30 before work)

- Choose emails to be included: You MUST checkbox which users WILL be included in the campaign (If you are sending to a list over 200 emails all emails will be chosen automatically)

- Process selected emails above: You MUST checkbox this to approve the emails above

  • SEND: click the red "Choose emails and click to send" and the campaign will be SENT !

NOTE: If you are testing you should checkbox the bottom left "Testing Only: do not track in log" which displays on the subject it is a TEST, which is a good way to get approvals within a company before you send

FORCE SEND: A campaign if sent 2 times within 48 hours will NOT send to the same email - If you want to FORCE and resend to all emails even if they received the same campaign in the last 48 hours check this box. 





# 7 > LOG

When viewing all campaigns
-> click 'Who Viewed' and this will display which users viewed the campaign


NOTE: Viewed means they had images active in their email client, if they viewed TEXT-ONLY OR did not enable images the system will NOT be able to discern if a user looked at the email.
